Our Full Management Services

'TO LET' OR 'TO LET SOON' MARKETING BOARD

RPMS Letting will erect one of our distinctive 'To Let' boards at the property to ensure foot fall and vehicle traffic are aware the property is available to rent. If you are currently having a property refurbished RPMS Letting can offer a 'To Let Soon' board. This board can be erected up to eight weeks before the property is available and indicates to the public that the property will be available in the near future.

ACCESS TO OUR MAILING LIST

RPMS Letting have built a substantial database of prospective tenants looking for property in the area. On completion of the marketing materials RPMS Letting will email and call prospective viewers/tenants on the database who are matched to your property.

FULL COLOUR MARKETING MATERIALS AND WINDOW DISPLAY

RPMS Letting are members of the Property Photography Academy and take pride in producing attractive marketing details including well taken photographs to create the best possible advertisement for your property.

APPLICANT CHECKS AND REFERENCES

RPMS Letting carry out strict referencing on all applicants in the form of a credit check using affordability criteria as well as employer and landlord referencing. The extensive nature of these checks allows RPMS Letting to obtain the highest quality tenants minimising risk to our landlords.

GUARANTOR CHECKS AND REFERENCES

If for any reason tenants do not pass the initial application checks, RPMS Letting can request a homeowner guarantor to co-sign the tenancy agreement. All guarantors follow a high standard of checks to ensure security and affordability.

ASSURED SHORTHOLD TENANCY AGREEMENT

The tenancy agreement for all tenancies used is an Assured Shorthold Tenancy agreement. Standard fixed term lengths are six or 12 months, longer terms can be negotiated.

INVENTORY AND SCHEDULE OF CONDITION

One of the most important documents is the inventory and schedule of condition. This document provides all parties with the exact condition of the property at the start of each tenancy. RPMS Letting will make detailed notes of the condition of all rooms along with accompanying photographs. This document is signed by the tenants when they move in and it is then checked by them over the next three days to allow any minor amendments. The document is then agreed with the agent as an accurate record of the property condition. This makes the inventory a key document at final inspections and if required at dispute.

UTILITY CHANGEOVER

RPMS Letting will contact all utility providers including gas, electric, water and local council to advise that new tenants have moved into the property and will now be responsible for bills.

RENT COLLECTION

Rent will be collected monthly from tenants and balance paid directly to landlords once charges have been deducted. A full breakdown of all costs will be sent to the landlord along payment.

A THREE MONTH PROPERTY INSPECTION AND BI-ANNUAL PROPERTY INSPECTIONS THEREAFTER

RPMS Letting will attend the first property inspection approximately three months after the start of the tenancy. Every six months subsequent inspections will follow. However RPMS Letting reserve the right to inspect at other times if concerns are raised.

DEPOSIT REGISTRATION WITH THE DISPUTE SERVICE (TDS)

RPMS Letting require a security deposit for all properties amounting to 1 month plus ¼ to provide adequate security for the property. If there should be any outstanding issues at the end of the tenancy RPMS Letting will liaise with the outgoing tenant to agree any deductions. If required RPMS Letting will claim for any disputed deductions using the arbitration process through The Dispute Service.

DEDICATED PROPERTY MANAGEMENT

Our property management department aims to resolve any repair issues over the phone if possible before a contractor attends. RPMS Letting use local and trusted contractors to complete work but are happy to use a specific professional contractor if a landlord has a preference.

DEDICATED ACCOUNTS DEPARTMENT

Our accounts department are available to answer any queries you may have, whether you are a landlord or a tenant.

DISCRETIONARY REPAIRS BUDGET (DRB)

RPMS Letting use where possible a Discretionary Repairs Budget (DRB, which allow a landlord to pre-authorise expenditure on repairs up to a chosen amount. This allows landlords to be more hands off and will limit contact from RPMS Letting with regard to small repairable issues. If the DRB option is selected by a landlord RPMS Letting will organise repairs or replacements for any issues under the DRB and will inform the Landlord thereafter that the job has been completed.

RENEWALS

RPMS Letting can organise a renewal of a tenancy agreement on expiration of the initial fixed term. On agreement with the landlord and tenant this can be a further six months or longer giving both landlords and tenants further security. An administration fee is charged for this service.

VISUAL INSPECTIONS

Includes minimum fortnightly visual inspection to comply with insurance, organisation of any necessary maintenance or remedial repairs required. Heating systems can also be adjusted in winter to prevent burst pipes/water damage. A set monthly fee is chargeable for this service.

FEES

Our fees for landlords are £294 for our Letting Fee, 13.2% of rental value for management commission inclusive of VAT. 50% or £295 (whichever the greater) of the first month rent excluding VAT for a six month agreement and 75% for a 12 month or longer agreement for our Let Only service.
